Reports for hosts
On this page
A report is one written article made from the conversations in your project: an introduction, a set of questions and answers, and a conclusion. You generate it, edit it if you want, and share it with a link. It is the quickest way to hand a session back to the people who took part, and to those who could not be there.
Generate a report#
- Open your project and choose “Report” in the sidebar. If the project already has a report, press “Create report” to get the same choices.
- Pick a “Language”: Nederlands, English, Deutsch, Français, Italiano, Español, Ukrainian or Czech.
- If you want, steer it under “Guide the report”. Choose up to 2 focus areas: “Focus on the process”, “Focus on outcomes”, “Identify key themes”, “Extract recommendations”, “Summarize sentiment”, “Agreements & disagreements”, “Or write your own”.
- Press “Generate now”.
- Wait for “Generating your report…”. You can leave the page. When the report is done you get the “Inbox” notification “Your report is ready”. No email is sent to you.
What goes into it:
- Every conversation that has content. The form tells you how many. You cannot pick conversations, a template or a length.
- A report has a size limit. In a large project it is written from the conversation summaries, and the conversations that were updated longest ago are left out. The report does not say which ones.
- One report per project is generated at a time. A second request answers “Report already generating”.
Edit it, and keep earlier ones#
- “Edit mode” lets you change the text. It saves on its own while you type.
- Each generation is a new report in the list “Reports”. Nothing is regenerated in place, so your earlier reports stay. Badges tell them apart: “Latest”, “Published”, “Scheduled”, “Generating”, “Guided”, “Archived”.
- When conversations came in after a report was made, “Create report” carries the hint “New conversations added since this report”.
- “Copy report content” copies the text. “Delete report” cannot be undone.
Schedule a report#
Scheduling is marked Beta and runs one time. Choose “Schedule”, then set a “Date” and a “Time”.
- The time must be at least 10 minutes ahead. The report starts within 5 minutes of it.
- You can schedule before any conversation exists. Conversations added before the chosen time are included.
- A scheduled report shows “Report scheduled” with “Generate now”, “Reschedule” and “Cancel schedule”. You cannot reschedule within 10 minutes of the scheduled time.
Share it#
A report is private until you publish it. Press “Share” and switch on “Public page”: “Anyone with the link can read it. No login, and no transcripts.”
- A project has one public report at a time. Publishing a report takes the previous one off the public page.
- The link belongs to the project, not to one report. A link you shared earlier shows whichever report is public now.
- While the page is public the panel offers a QR code, “Copy link”, “Open link”, “Download QR code” and “Download as PDF”. The PDF is made by your browser’s print window.
- “Include portal link” ends the report with an invitation to add your voice.
- Switching “Public page” off takes the report back. The link then shows “This report is not yet available.”
Under the report, hosts see “Analytics”: how many people opened it, and a chart of conversations and views per day.
Tell participants by email#
Participants can leave an email address at the end of their conversation when “Ask for email?” is on in the portal editor.
- The emails go out when a report goes from private to published. Editing a published report sends nothing.
- You confirm first. “Publish report” shows how many participants will get an email, and nothing is sent until you press “Publish”.
- The email has the subject “A report featuring your input is ready”, a “View report” button and a link to unsubscribe.
